Using AI Draft to Write Review Responses

AI Draft generates professional review responses in seconds. It reads the customer's review and writes a personalized reply that you can edit and post. This guide explains how it works and how to get the best results.


How AI Draft Works

When you tap Generate AI Draft, Reveo sends the review text to an AI model that:

  1. Reads the customer's review and understands the sentiment
  2. Identifies specific topics they mentioned (service quality, staff, pricing, etc.)
  3. Writes a response that matches the tone — grateful for positive reviews, empathetic for negative ones
  4. Personalizes it with the customer's name

The draft appears in the response field, ready for you to edit.


Using AI Draft Step by Step

Step 1: Open a Review

From the Reviews tab or your Home screen action queue, tap a review to open the detail view.

Step 2: Generate the Draft

Tap the Generate AI Draft button (sparkles icon) in the response section. The AI processes the review and fills in a draft response.

You'll see a notice: "AI-generated draft — edit before posting" so you know the text was generated, not written by a person.

Step 3: Edit the Draft

The draft is a starting point. Before posting, you should:

  • Add a personal detail — reference the specific service, the technician's name, or something unique to the interaction
  • Adjust the tone — make it sound like you, not a robot
  • Fix anything that doesn't fit — the AI doesn't know your internal policies or specific situation details
  • Keep or shorten — AI drafts tend to be thorough. Trim if it feels too long.

Step 4: Regenerate if Needed

Don't like the first draft? Tap Regenerate to get a fresh response. Each generation produces a different result, so you can try a few times until you get a good starting point.

Step 5: Post

Once you're happy with the response, tap Post Response. It goes live on the review platform (Google, Facebook, or Yelp).


Tips for Better AI Drafts

What AI Draft Does Well

  • Matching tone to star rating (thankful for 5 stars, empathetic for 1 star)
  • Using the customer's name naturally
  • Covering the key points from their review
  • Keeping a professional, friendly tone
  • Structuring the response logically

What You Should Add

  • Specific details the AI can't know — "We're glad the new HVAC unit is keeping your family comfortable"
  • Your business personality — if you're casual and fun, adjust the tone
  • Follow-up offers — "Come back next month for our spring special"
  • Contact information for negative reviews — "Call me directly at (555) 123-4567"

When to Use AI Draft vs. Writing Manually

Use AI Draft When

  • You have a backlog of reviews to respond to
  • You're not sure how to start a response
  • The review is straightforward (positive feedback, general praise)
  • You want a professional structure to build on

Write Manually When

  • The review describes a very specific situation you know about
  • You have a personal relationship with the customer
  • The response needs sensitive handling (legal issues, safety concerns)
  • You want to include a very specific offer or resolution

Most teams use AI Draft for 70-80% of responses and write the rest manually. The key is always editing the draft before posting.


AI Draft for Different Star Ratings

5-Star Reviews

AI Draft writes a warm thank-you that highlights what the customer praised. These are usually ready to post with minimal edits.

3-4 Star Reviews

AI Draft acknowledges the positive feedback and addresses any concerns mentioned. Review these carefully — the AI might not know the full context of an issue.

1-2 Star Reviews

AI Draft writes an empathetic, professional response. Always edit these. You'll want to: - Add specific details about how you'll address the issue - Include your direct contact information - Make sure the tone matches the severity of their complaint


Privacy and Data

  • AI Draft only uses the review text visible on the public review platform
  • Review data is processed securely and not stored by the AI provider
  • Generated responses are not shared or reused across businesses
  • You always have final control — nothing is posted without you tapping Post Response

Troubleshooting

"Generate AI Draft" button doesn't appear - AI Draft requires an active Reveo subscription. Check your plan in Settings.

Draft seems generic or off-topic - The AI works best with detailed reviews. For very short reviews ("Great service!"), the draft may be generic. Add your own specifics. - Try tapping Regenerate for a different result.

Draft is in the wrong language - AI Draft responds in the language of the review. If the review is in Spanish, the draft will be in Spanish.
